AI features are in development

None of the first five is available yet. We would rather tell you what is coming than sell you something that is not here.

Receipt extraction

Read the merchant, date, total and tax off a photographed or emailed receipt. In development.

Category and GL suggestion

Propose the account and category from the receipt and your chart of accounts. In development.

Duplicate invoice detection

Catch the same invoice submitted twice in different formats, or with a tip added. In development.

Plain-language policy explanations

Say why a line breached policy, in a sentence a submitter can act on. In development.

Ad hoc cost analysis

Ask a question of your own expense data and get a worked answer. In development.

Compliance controls — available now

Duplicate submissions, amount outliers, violation density and approver concentration. Deterministic rules rather than machine learning: each raises a finding for a person to review and none reaches a verdict on its own.

When the AI features ship, every one of them will be available on every paid plan.

Frequently Asked Questions

What expense management modules does VeloExpense include?

Expense reports with line-item splits, receipt upload and a receipt inbox, a policy engine that checks submissions against your rules, approval workflows with delegation, reimbursement tracking, a chart of accounts with GL coding and automatic posting of approved reports, analytics dashboards, budgets checked at the point of submission, a set of compliance controls, and a hash-chained audit log. Multi-entity support is available on the Enterprise plan.

How does receipt capture work today?

You upload a receipt from your phone or desktop as a JPEG, PNG, WebP, HEIC or PDF, up to 20 MB. Receipts can sit unattached in an inbox and later be turned into a report, one expense per receipt. Fields are entered by hand today: automatic extraction of the merchant, date, total and tax is in development and is not available yet.

Does VeloExpense support Canadian GST/HST/PST/QST?

Not yet, and it is worth being precise about it. Tax is recorded today as an amount you enter on the expense line. A provincial tax engine — GST/HST/PST/QST rates by province, input-tax-credit tracking, CRA mileage rates and per-diem tables — is on the roadmap. What does ship today for Canadian companies: an interface in English and French (Canada), Canadian date and currency formatting, CAD as a first-class currency, and foreign-exchange rates sourced from the Bank of Canada.

Can VeloExpense detect duplicate receipts and fraud?

There are four compliance controls: duplicate submissions, amount outliers, violation density and approver concentration. They are deterministic rules rather than machine learning, and that distinction is deliberate — each one raises a finding for a person to review and none of them reaches a verdict on its own. An automated accusation is a worse problem than the one it is trying to solve. Broader duplicate-invoice matching using AI is in development.

What accounting integrations does VeloExpense support?

QuickBooks Online and VeloLedger are available today. Approved reports are posted to the connected ledger automatically, with a queue you can inspect, retry and hold. Xero, Sage, NetSuite, SAP and Oracle are planned and are not available yet.

How does approval routing work?

You define the routing rules — by amount, category, department and legal entity — and reports move through the steps you configure. Delegation means a report never waits on somebody who is away, and every transition is recorded with the report total and the violation counts the gate saw at that moment, so a later rule change cannot rewrite the history of why a submission was allowed. The routing is rules you write, not a model's judgement.
